Administrative Assistant (part-time)

The Humane Society of The United States (HSUS), the nation’s largest animal advocacy organization is seeking a part time Administrative Assistant. The Administrative Assistant will be responsible for providing administrative support to Humane Society Veterinary Medical Association-Rural Area Veterinary Services (HSVMA-RAVS) program Director and program management staff. Will also be acting as a resource for successful planning and coordination of program activities..

This position will be responsible for:

  • Preparing and reviewing expense reports, invoices, account reconciliations, time sheets, etc.;
  • Compiling and editing reports, memos, letters and other documents using word processing, spreadsheet, database, and/or presentation software;
  • Acting as a liaison while also providing support for program staff on administrative processes, software applications and communications platforms, etc.;
  • Receiving/distributing mail, telephone and email;
  • Communicating with and supporting relationships with volunteers, donors and other program supporters;
  • Facilitating team meetings while also compiling accurate schedules for various roles of whom will be attending various meetings;
  • Managing and coordinating multifaceted travel arrangements for staff and field consultants while maintaining the team calendar and coordinating deadlines and reminders as necessary;
  • Maintaining medical and other confidential records and analyzing clinic and program data;
  • Must be up to date on knowledge of relevant issues in animal protection and the veterinary profession;

Qualifications:

  • High school diploma or GED required (College degree preferred);
  • At least two years of professional administrative experience required;
  • Experience working in non-profit and/or veterinary settings highly desirable;
  • Excellent interpersonal, verbal and written communication skills;
  • Strong general computer and email skills, internet research abilities and high degree of proficiency in MS Office applications (Excel, Word, PowerPoint and Outlook) required;
  • Superior organizational skills and attention to detail;
  • Self-motivation, responsibility and ability to work well independently with minimal supervision;
  • Flexibility and willingness to adapt to changing organizational needs; < /li>

    Must have reliable telephone and home internet connection (This is a remote position);
