Administrative Assistant (PT)

The Humane Society of the United States (HSUS), the nation’s largest animal advocacy organization, is seeking an Interim Administrative Assistant (part-time) for its Fund for Animals Wildlife Center in Ramona, CA. The main responsibility of this position is to assist with fundraising, donor relations, answering the phones, greeting guests, assisting with patient intake, and database maintenance.

This position will be responsible for:

  • Working within a team to compile and update SOPs and SOOs;
  • Entering data into Access, ZIMS, Volgistics, and similar database systems;
  • Setting up all new vendors and contractors;
  • Processing donations and following-up with thank you notes and donation receipts;
  • Assisting with fundraising through Amazon, Craigslist, mail appeals, and special events;
  • Working with volunteers and interns in a professional and courteous manner as well as planning and implementing volunteer trainings and events;
  • Keeping lobby and public spaces in a clean and presentable manner as well as ensuring marketing collateral and donation solicitation materials are updated and available to guests;
  • Arranging for maintenance and repair of office equipment;
  • Interacting with the public on the phone and in person;
  • Producing social media posts;
  • Creating hand-outs, displays, and PowerPoint presentations as requested;
  • Stocking and taking inventory of office & janitorial supplies;
  • Overseeing procurement and replacement of gift shop merchandise.

Qualifications:

  • High School Diploma or equivalent required;
  • Minimum one to three years’ of general/administrative office experience required;
  • Must be able to work weekends and holidays and able to move/lift 20 pounds;
  • Must have basic knowledge of normal native wildlife behavior;
  • Must have working knowledge of the geographic region to be able to direct callers and rescuers;
  • Excellent verbal and written communication skills, and organizational and interpersonal skills;
  • Excellent computer skills and familiarity with Word, Excel, Access, and a Publisher program required;
  • Professional training in business management and/or public relations is beneficial;
  • Must be able to maintain and present a professional appearance.
