Manager, Conferences and Events

The Humane Society of the United States (HSUS), the nation’s largest animal protection organization, is seeking a Manager, Conferences and Events for the Events department. The main responsibility of this position is to ensure the successful development, management, and execution of the following events:  Animal Care Expo, Taking Action for Animals, Board Meetings, All-Staff Meetings and other events assigned by the Director.

This position will be responsible for:

  • Planning, coordinating and execution of high profile conferences and meetings;
  • Managing the Request for Proposals (RFP) solicitation process, site selection, and contract negotiations with vendors;
  • Overseeing meeting space allocation, meeting schedules, and meeting specifications in coordination with the Director;
  • Managing vendors including food and beverage, printing, shipping, audio visual, transportation, and any other outsourced operations;
  • Developing content for promotional materials including ads, brochures, emails, and website;
  • Managing room blocks and conference registrations;
  • Providing support for speakers, entertainment, and VIPs;
  • Assisting with solicitation and management of sponsors and exhibitors for Taking Action for Animals;
  • Managing inventory and storage of event supplies;
  • Maintaining records of budgets, invoices, and acquiring approvals for payment;
  • Developing post-attendee event evaluations and gathering/analyzing event performance for future improvement;
  • Staying informed and updated on industry trends and practices.

Qualifications:

  • Bachelor’s degree in hospitality management or similar field, or equivalent work experience required;
  • Minimum 4 years of conference and meeting planning experience required;
  • Non-profit or Association experience is strongly preferred;
  • Must have superior organizational skills, strong attention to detail and ability to work in a fast-paced environment;
  • Must possess demonstrated ability to coordinate, manage and execute several events at one time;
  • Superior written and verbal communication skills and demonstrated ability to meet deadlines while working independently and/or collaboratively;
  • Proficiency in MS Office and with online registration and database systems required; experience with Cvent a plus;
  • Must be able to travel and occasionally work extended hours, including evenings and weekends;
  • Prior supervisory experience is strongly desired;
  • Understanding of and interest in animal issues preferred.
